Clubscan is a powerful database system that offers the most robust patron management solution available. It provides a unique way of cataloging customers and forecasting future business. In addition, it automatically calculates age, logs nightly business activity, and even has the capability to detect fake ID's. Clubscan is a perfect tool for any licensed venue looking for a solution to scan it's patrons Identification documents upon entry to the venue thus enabling management the ability to identify trouble makers. ID scanners truly change a venues atmosphere and make troublesome patrons fully aware that they can be held accountable for their actions.

When an ID is scanned, clubscan automatically:

Calculates and clearly displays your customer's age, in addition to generating alert messages if they are under 18.
Determines if the ID is expired.
Determines if the ID was presented earlier on the same night
Shows Customer Status - VIP, General Admission, or Banned
Shows Cover Charge Status - Free Admission or Cover Charge

The clubscan Database

The clubscan Database is password protected so that only the desired users have access to this information. From this window full access to the database is available enabling you to:

View Important Demographic Information - You can determine; male/female ratios, the number of times a customer paid a cover charge, how many customers came on a specific date, and a variety of other relevant statistics.

Create Informative Reports - Using the Quick Search/Report feature, you can pick various categories of customers and generate reports based on the search criteria you select. For example you can generate a report that lists all your Female, VIP customers that are 21 or older, from Victoria, and entered the nightclub on 16/08/09. This information can then be printed or used in MS Excel© or Access© where detailed graphs and charts can be made.

Enhance Advertising Capabilities - Generate customizable mailing lists that can be targeted to various groups of customers based on the demographic information you now have access to. In addition, with our multi-state ID support, it's possible to reach both local and out of state customers.

Increase Security - You now have the ability to produce a scanned record complete with picture, providing legal proof that ID verification was done. In addition, if a customer gets banned for any reason, you can enter comments for why they were banned and how long their banned until. If a banned customer tries to re-enter on a later date a warning message automatically appears that specifies the reason for the ban and the date it is to be lifted. This feature provides a historical record of continual offenders ensuring anyone working the door knows.

Fake ID Detection - clubscan supports driver's licenses from all 50 states, passports, military ID's, and a variety of other valid ID cards, eliminating the need for a doorman to refer to a book for an unfamiliar ID. If a customer tries to use a home-made ID it will automatically be detected and a warning message will pop up stating that it is invalid. In addition, ClubScan is also capable of reading the encoded information stored on ID cards with magnetic strips or 1D and 2D bar codes. A simple verification process is done that compares the encoded information with the information actually printed on the ID. This minimizes the chance of allowing a customer to enter the nightclub with a doctored up or questionable ID.

ID MAY BE A CONDITION OF YOUR ENTRY / CLUBSCAN IS VOLUNTARY

By allowing us to clubscan your id (scanning and retaining your details) you agree to the following:

1) Permission to use your information for marketing; this means that this venue may send you mailed invitations to events at this venue.

2) That we can share your information with other venues should you be banned from this venue.

3) That we can share this information with police and local authorities in the event of an incident.

If you do not wish to receive marketing information you can be removed from our party invitation list at any time, if you would like to be removed ask a member of the management team or contact us at the address below.

This venue and its' staff has a legal obligation to ensure that we do not serve alcohol to anyone under the age of 18 years, additionally we are required by law to prevent crime and disorder, prevent public nuisance and have an obligation to public safety. To assist us in complying with these legal obligations, we may require you to produce Passport, Driving License, PASS ID, or other National Identification, which may be processed through clubscan.

CLUBSCAN OPERATING IN THIS VENUE

Clubscan is a computer system which takes a scanned copy of the identification you present us with, checks your age and whether you are listed on our database of people who have been barred from this venue. Clubscan is used to help us achieve our aim of providing a safe and enjoyable environment for our customers, where only those people who are admitted are of legal age and are unlikely to interrupt other customer's enjoyment.

CLUBSCAN IS VOLUNTARY

You are not obliged to permit us to scan your identification through clubscan; however, we retain the management's right to refuse entry if you do not permit us to "clubscan" your Identification. By permitting us to scan your ID, we will use your information for the following reasons; your personal safety, a log of customers on our premises, to assist with police and other local authorities where a request has been made, with other venues should you be barred from this venue and we deem it would benefit the public, staff and assist in fulfilling the any of the four main principles of the 2003 Act, marketing statistics, directly mailing of marketing information relating to this business.

THE SECURITY OF YOUR INFORMATION

We will do our best to keep your information secure and will only use it for the stated purposes for which it was gathered, we will not take your information out of the EU and we will keep your information for only as long as the statute of limitations on personal injuries is set, which will mean a minimum of three years. You may have access to the information we hold on you at any time by making a written request to our data controller. The venues will do its best to keep your information secure, and will be aware of the main principles of the Data Protection Act. Your information is not normally accessed by any other staff member other than the Managers of the premises.

The customer facing screen only displays your image for a short period of time, much like a CCTV monitor. Access to any other part of the system is password protected.

Your information will only be used for the stated purposes for which it was gathered, and your information will not be taken out of the EU

Information will be kept for as long as deemed necessary. In some cases this could be as long as the statute of limitations on personal injuries is set, which will normally mean a maximum of three years.

You may have access to the information a venue holds on you at any time by making a written request to the data controller of the venue you visited.

Data Protection Training Guidance for new staff

Each venue is provided with a fair processing notice - we ask that this is prominently displayed. Additionally we are able to provide card size fair processing notices that your door staff should carry and make available to customers who require further information.

As a part of your normal operational schedule your staff and door should study and understand this document and be able to answer your customer’s questions.

W e would ask if you can make your staff fully aware of the content of the main principles of the data protection act, the data notices we provide and the answers to the following questions which the public may ask.
